POLICY 4-6 STAFF STUDY PRIVILEGES

I. PURPOSE
The purpose of this policy is to establish a study privileges program allowing Fort Lewis College employees the opportunity to take a limited number of courses where the tuition may be waived. The tuition waiver does not apply to Extended Studies Courses.
II. AUTHORITY
The authority to extend study privileges to employees is provided through State of Colorado fiscal rules.
III. POLICY
The following procedures must be followed when submitting a request to take courses under the tuition waiver policy:
A. Admission Requirements Any employee who is eligible for benefits and who wishes to take a class under the tuition waiver policy, must first apply for admission to Fort Lewis College through the Admission Office and must follow regular admission requirements.
B. Tuition Waiver Request A Tuition Waiver Request form is available through the Registrar's Office. Written approval must also be obtained on this form from the immediate supervisor then submitted to the Registrar's Office prior to the first day of the term to provide the Registrar's Office and the Accounts Receivable Office sufficiant notice of the waiver. The Registrar's Office will obtain signature approval from the appropriate Vice President after verifying credit hours requested.
D. Class Registration Enrollment is limited to those cases in which classroom space is available without eliminating a tuition paying enrollee. All faculty and staff wishing to take a class may attend class with the professor's permission but will not be officially registered until after census date. No later than the census date of any given terms, the Employee Tuition Waiver Add Form should be submitted with the instructor's signature to the Registrar's Office for official registration. It is important that employees not try to register themselves for a class. The Registrar's Office will register the employee when the Add Form is submitted. Such employee credits are not counted toward student FTE nor enrollment figures.
C. Credits Allowed Full-time employees are limited to six (6) semester hours per fiscal year with part-time employees limited to a proportional number of hours(e.g., half-time staff are eligible for three credit hours).
E. Class Attendance An employee may request time off during the work day to attend any class but must obtain supervisor's approval and make up the time taken to attend classes. |
