What You Need to Know about IT@ FLC


The Office of Information Technology provides computing resources, voice and data communications, and technical support and consulting for the students, staff and faculty of Fort Lewis College.  Dial-in capability is available to connect to campus computing facilities.  The department also manages many student computing labs on campus; faculty and staff may use these labs as well.  Lab hours vary.  Call the Education Business Hall lab at 247-7119 for details.  Faculty and Staff contact the User Helpline at 247-7444 for details.  Students contact the ResNet at 382-6899 or Labs at 247-7022.

Technology Security Basics     TOP
Making sure our data and the devices on which we access that data are secure is extremely important.  Visit our Security Information for Safe Computing  website to find the most up-to-date and comprehensive solutions we are employing.  In the mean time, below are a few of the very basic steps you must take.

You are responsible for keeping your password secure and for the safekeeping of data on your computer and on our network.  The following tips will help you accomplish that.

  • Never share your account logon, password, or long distance code.
  • Never put your account logon, password, or long distance code information on a sticky note on your monitor, under your keyboard, in a desk drawer, etc. 
  • Memorizing your password/auth code is the best way to keep it secure.
  • Always lock your computer when leaving your desk – pressing the windows key and the “L” is one way to do this.
  • If you have a laptop, lock it to your desk with a laptop cable. (IT can help you get one)
  • Lock your office door when leaving for any length of time.
  • Be aware of the nature of data you are accessing.  Never keep sensitive data (social security numbers, etc.) on a local drive or portable device (laptop, BlackBerry, PDA, etc.).  Instead, keep all files containing sensitive data on your network (M: or O:) drive.


Computers - College Owned       TOP

  • In general, the college’s Workstation Refresh Program regulates the assignment of computers. The program allocates, by department, the required number of computers to make the department functional. Newly hired faculty or staff filling an existing position will be assigned the computer used by the previous employee. The program replaces computers - by department - on a three year cycle.
  • Added computer assignments to a department must receive consideration from the appropriate vice president. Terms of the Workstation Refresh Program will apply.
  • Reassigned computers should receive a “refreshed” suite of software and appropriate configuration settings unique to the new user. Contact the Helpdesk  to arrange this service.
  • The college provides a standard suite of software – productivity, virus and utilities. Business or discipline specific software is the department’s responsibility considering cost and management, the Helpdesk will provide support to a reasonable level.

Computers - personally owned     TOP

  • A modem pool is available for access from off-campus.  Dial 247-7299. 
  • You can also connect on-campus if the criteria under Policy 6-18 are met.  Please contact the Helpdesk at x7444 before connecting any non-college owned equipment to the campus network. 
  • Personal computers are not supported by the office of Information Technology.  If something goes wrong with your personal hardware or software, you are responsible for getting it fixed.  It is the policy of Fort Lewis College that the office of Information Technology will not support personally owned equipment.

Printing    TOP

  • Printing to networked printers is recommended. These higher cost printers provide improved print quality, speed and service and can serve many people within a department or workgroup.  When your computer is set up for your use you will be given print permissions to the appropriate printer(s).
  • Local inkjet printers are sometimes used in individual offices. The Office of Computing and Telecommunications offers an inkjet printer program providing a printer, interface cable, and one year of support for a minimal cost.
  • All printing expenses including printer purchase, network charges and supplies are the responsibility of the department for both network and individual printing.
Network
Accounts    TOP

Initially, the various accounts used at Fort Lewis College can be confusing but in time everyone adjusts.

Computer/Network Account

  • The most common account used is the Computer/Network account. This account is used to log into your computer and the college network. It is the same account used to dial in to Fort Lewis College’s ISP.
  • The Computer/Network account consists of a username and password. The username is usually the user’s last name followed by the underscore character, followed by the user’s first initial. The password must be at least eight characters long and contain uppercase letters, lowercase letters and digits. Some special characters are allowed.
  • The first logon to the Computer/Network account must be made on campus. As part of the initial logon process a password change will be required.

WebOpus Account

  • WebOpus is a web-based interface to common areas of the Banner database system used for college operations.
  • The WebOpus account is another unique account to be managed. The required User ID and WebOpus PIN are different from the Computer/Network account username and password. The User ID is the ID number on your Fort Lewis College ID. The WebOpus PIN is initially your birth date (mmddyy) which you should change at first login.
  • Using WebOpus, you can view your pay and leave information, and perform budget queries among other items.
  • Note: WebOpus PINs are changed by the Human Resources Office should loss or login trouble occur.

Banner Account

  • Banner is the administrative system used by the college to manage business and provide records among other services.
  • Banner accounts consist of a username and a password.
  • Two different Banner environments are available – a production environment and a development environment – each requiring a separate account.
  • Banner account usernames are similar to Computer/Network account usernames, last name, underscore, first initial but are proceeded by OPS$, i.e. OPS$lastname_i. The username for both Banner accounts (production and development) are the same. The passwords are independent and must be managed separately. Many users change the passwords on each Banner account to the same password for simplicity.

Unity Voicemail Account

  • Unity Voicemail accounts provide access to Unity voicemail boxes.
  • Voicemail boxes are unique based on an extension, usually a telephone number, and a password (sequence of digits pressed on the telephone keypad.)
  • Shared telephones have multiple extensions associated with them, each extension identifies a unique voicemail box.
  • Unity voicemail boxes can also be accessed via Outlook on a PC thus using a Computer/Network Account.

M and O Drives    TOP

  • When you obtain a network account you will be given access to a 'personal share' drive called your M drive.  This is a network drive on which you should store important college business documents.
  • If your department has a departmentally shared drive, called the O drive, you will also have access to that.  The O drive is where you should save documents that should be accessible to your entire department.
  • Network M and O drives are the only drives on which you may store sensitive information such as social security numbers, etc.  Never store sensitive information on laptops, pda's, usb drives, your desktop c: drive, or any portable device.  Doing so is a violation of college policy.
  • M drives are accessible from off campus via dial-up through our modems (free to you), or via VPN through your personal broadband or DSL connection.


Telephones and Voicemail     TOP

  • Your office should have either an IP phone or and analog phoneYou can find detailed intructions for using both at http://www.fortlewis.edu/administrative_services/it/facstaff/telephonevm.asp .
  • If there is no phone in your office you must fill out a Telecommunications Services Addition or Move Request Form.  
  • If you move into an office previously occupied by someone who is no longer here, check to see if your phone is connected.  If so, all you need to do is contact the helpdesk at x7444 or helpline@fortlewis.edu to have the name changed and the voicemail box cleared for your use.
  • Unity voicemail is available to Faculty and Staff.  

    • To access your voicemail on the IP phone system:

      •  dial 8000 or press the messages button on your phone.  You will be asked to enter your password followed by #. 

    • To access your IP voicemail from another phone:

      • Dial your extension.

      • When your voicemail begins to play press *

      • Enter your ID (4 digit extension#) and #

      • Enter your password and #

Long-distance telephone calls     TOP
You must have your own long-distance authorization code or long distance calling card to make long-distance calls.  You will need to fill out a Fort Lewis College Long Distance Authorization Code or Calling Card request form located at http://www.fortlewis.edu/administrative_services/it/facstaff/it_forms.asp and send it Information Technology located in 104 Berndt Hall.  Charges will be billed to your department.


Email     TOP

  • Everyone on campus is given their own personal email account. Your supervisor should fill out an account request form with you to obtain your computer/network account and email address.  Your email address is the same as your computer/network account username, followed by @fortlewis.edu (John Doe’s email address would be doe_j@fortlewis.edu). Your password is the same as your computer/network account password. Note: when emailing on campus, you don’t need the @fortlewis.edu.
  • By default, everyone is allocated 150MB of space for their mailbox on the mail server. If this is not enough, mail can always be stored on your M: drive or your hard drive. We recommend keeping important mail on the mail server. That way, you will not lose anything in the event of a computer crash.
  • Every Windows machine on campus comes with Microsoft Outlook as the default mail program. Every Macintosh machine on campus comes with Microsoft Entourage as the default mail program. These programs are very similar.
  • You can still access your email account while off campus using Outlook Web Access. Simply go to the Fort Lewis webpage at www.fortlewis.edu and click on the Faculty/Staff E-mail link on the left. This will prompt you for your email address and password.
  • Your email and voicemail are somewhat intertwined. When someone leaves you a voicemail, it is also sent to your email as an audio file. Just double click on the attachment and your voicemail will play through your computer speakers.

Campus wide Email Lists    TOP

  • There are two "campus wide" email listservs and one email listserv for students, which are governed by Policy 6-16 section V. Parts 3a-c.
    • FLC-Official-L
      •  all empoyess having electronic mail accounts are automatically subscribed to this list
      • FLC-Official-L is intended for disseminating information among College employees that relates to the general business of the College
      • to post a message to this list, first consult the policy guidelines to see if your information fits, then send the email to flc-official-l 
      • a moderator will receive the message and either okay it for posting or notify you if it is not okayed.
    • FLC-Student-Official-L
      • all students having electronic mail accounts are subscribed to this list
      • FLC-Student-Official-L is the list intended for disseminating essential College information to students
      • to post a message to this list, first consult the policy guidelines to see if your information fits, then send the email to FLC-Official-L
      • a moderator will receive the message and either okay it for posting or notify you if it is not okayed
    • FLC-Announce-L
      • subscription to this list is voluntary and therefore restrictions on its use are less stringent than FLC-Official-L
      • this list is intended as a public announcement forum for College employees
      • to subscribe to FLC-Announce-L follow these instructions
      • to post a message to this list, first consult the policy guidelines to see if your information fits, then send it to FLC-Announce-L
      • there is no moderator of this list so your message will go right out to the listserv

 

Campus Directories      TOP

  • Email addresses can be found in the Outlook Address book as well as in the Searchable Faculty/Staff Directory found online.
  • Email addresses for departments are also listed in the Outlook Address book.  If the members listed in your department in the Outlook Address book are incorrect please email helpline@fortlewis.edu or dial x7444.
  • On campus phone numbers can be found in the Outlook Address book, the Searchable Faculty/Staff Directory, and by accessing the directories button on your IP Phone.
  • If your information is not correct on the email or IP phone directories you should email helpline@fortlewis.edu or dial x7444.
  • If you information is not correct in the Searchable Faculty/Staff Directory you should contact your department's administrative assistant or your supervisor.
  • There are pdf files which can be accessed by choosing the Directories link from the Fort Lewis College home page.  These pdf files are only updated twice per year so the information found in them is not going to be the most current.  For the most current information you should use the Searchable Faculty/Staff Directory.


Anti-Virus Protection      TOP

  • Fort Lewis College uses McAfee Anti-Virus Protection.  
  • McAffee will be installed on your workstation here at the college. 
  • We also provide this service at no charge for your home computer.  To get this free protection you will need to download and install the McAfee Anti-Virus package located at http://www.fortlewis.edu/administrative_services/it/all/software_downloads.asp
  • Please note that since it is the policy of Fort Lewis College that the Computer Center will not support personally owned equipment, the free anti-virus protection for your home computer is offered as a courtesy only and comes without support.

Help - Where to get it     TOP

Faculty/Staff Helpdesk

  • The Faculty/Staff Helpdesk is staffed during normal business hours (one hour lunch) Monday through Friday.
  • The Helpdesk provides a variety of technology related services for devices located in faculty and staff offices.
  • The Helpdesk is the first-point-of-contact for services available in the Information Technology Office. Your calls/requests will be routed to the appropriate IT staff based on the nature of your call.

      Training/Tutorials

  • Training workshops are offered for a variety of subjects.  Announcements about upcoming training workshops will be sent to the campus community via email.

Academic Computer Labs

  • Student technology support is provided by the Academic Computer Lab Coordinator team which is backed-up by a hired student staff.
  • Facilities managed by the Lab Coordinator team include the general access student computer labs, reservable computer classrooms, smart classrooms and “kiosk” locations.
  • A major goal of the Lab Coordinator team is to provide a consistent software suite in all locations to reduce confusion among the various facilities.
  • Faculty needing support for these services should contact the Lab Coordinator team.

Smart Classrooms

  • Smart classrooms are specific rooms on campus with multiple technology aids installed. General use instructions are posted. If major troubles occur the Lab Coordinator group can be contacted for troubleshooting and repair.
