Position Summary 

The Purchasing Agent assists the Purchasing & Contracts Director with a variety of professional duties involved in the ethical procurement and contracting of materials, supplies, services and equipment for college departments and operations. Develops bid specifications, opens and awards bids, and drafts contracts. Performs a wide variety of responsible and complex administrative duties for the department. Provides information and assistance to all college departments regarding fiscal rules and procedures. Provides informal and formal solicitation and contract administration services in conformance with established College, State and Federal policies and procedures. The Purchasing Agent assists in the management of travel functions, maintains stock levels and Central Stores inventory and serves as backup related to materials handling duties including assists shipping and receiving functions.

Major Responsibilities 

  • Administer and coordinate procurement and contract functions to secure and maintain the commodities and services required by all College departments; expedite the delivery of purchased materials, make necessary adjustments with suppliers regarding replacements, incomplete orders or damages supplies.
  • Receive, examine and process department requisitions and check requests; answer questions and provide information to College staff. Assure the College’s procurement and contracting process is conducted in accordance with all federal and state laws.
  • Assist the Director in contract administration including but not limited to; creating contracts, maintaining contract records, monitor contract performance, prepare contract-related correspondence.
  • Assist the Director in the management of the College travel program including but not limited to; review, approve and track travel authorizations and travel reconciliations in a timely manner.
  • Ensures all procurement and contract files are complete with appropriate documentation.
  • Assists with inspection of incoming items purchased on Purchase Orders and recording receipt of items into ERP system.
  • Works with team to ensure timely and accurate receipt and delivery of goods.
  • Assist in managing College surplus inventory including re-allocating equipment on campus
  • Maintains the Capital Asset list and physically inventories annually. Works collaboratively with the Director to determine the disposal of assets in compliance with College policy.
  • Demonstrates a commitment to diversity, equity, inclusion, and student success, as well as working with broadly diverse communities
  • Maintains knowledge and awareness of digital accessibility including the American with Disabilities Act and Section 508.
  • Produces and remediates digitally accessible materials in accordance with FLC standards.
  • Perform other duties as assigned

Compensation  

Salary is $43,000 to $50,000,  plus a comprehensive benefits package.
