Workday Student replacing Banner Student Fall 2024

The second phase of the Workday implementation will focus on migrating student information and functionality from Banner.  This second phase will begin Fall 2022 and is scheduled to go live in phases up until Fall 2024.

  • Workday does not replace Cayuse, which we use for preparing and submitting funding proposals.
  • Workday will support award setup, award management (charging salary costs, supplies, travel, budget vs actuals spending reports), and award closeout.
  • Please allow OSPR some extra time to help with proposals or respond to award management issues while Workday gets up and running into 2023.

How is Workday different than Banner?

Workday’s framework is superior in its ease of use and functionality.

  • Each page in Banner acts independently of other pages. For example, the staff online directory depends on manual updates to a department’s list of current employees. It does not sync the information directly from an employee’s profile on other Banner pages as Workday does with its pages.

Workday’s structure syncs all data and information updates across the board.

  • Workday houses all information in one secure Cloud portal, so you can access what you need from anywhere in a consolidated place.
  • Every user has a home page with everyday functions like reports, expenses, timesheets, pay slips, personal information, and department team information. Notifications and a task inbox also keep you organized and updated.
  • Managers can conduct approvals directly in Workday for tasks like approving timesheets and time off, approving Pcard expense reports, and more! Workday functions with AdobeSign for document signatures.
  • Workday has a robust search function to help you find anything you need.
  • Reporting is built right into the platform with limitless customizations.
  • Workday provides yearly system updates for continued feature improvements and up-to-date security.
How is Workday being implemented?

Workday is being implemented in 2 phases.

  1. The first phase, consisting of the migration of human resources, financials, procurement, and payroll information, has been ongoing since December 2021 and will be completed in December 2022. The Fort Lewis College Workday team has worked hard over the last year with the planning, architectural, configuration, and testing stages.

  2. The second phase of the Workday implementation will focus on migrating student information and functionality from Banner, beginning Fall of 2022 and completing in 2024.

Human Resources, Payroll, and Finance components will be live this December. This will change processes like timesheets, leave reports, Pcard expense reports, travel authorization, hiring, pay management, and budget reports for the better.

How does Workday work?

Workday functions as a spider web with a central focus and connecting strands branching out to other parts of the web, otherwise known as an Object Action model. Logic and Data live in the same place and connect related objects with hyperlinks. Data is contextual and actionable rather than simply viewable in a traditional database format.

  • For example, HR can look up an employee’s basic profile and quickly bounce to other relevant data like their manager and department, insurance benefits enrolled, salary, job description, etc.

The web of hyperlinks accessibility depends upon the user’s assigned security group.
A manager will have more access to an employee they supervise but will not be able to drill into an employee from another department. Actions can be taken from this data, such as approving a Pcard expense report. 

Workday uses the Business Process as a workflow when you need to conduct an Action, like a task or approval process:

  • When: Define time frame and steps (deadline(s) of each step and users involved)
  • What: Set a task, action, or report
  • Who: Assign security group(s) so only those that need to see it can see it- they will receive a notification that they have a task to complete
