What's changing? 

Say goodbye to WebOPUS and UAchieve. In Workday, you’ll have access to your class schedule, academic history, transcripts, and degree audits all in one convenient platform.

Important dates: 

  • March 11: Workday is live on campus. 
  • March 25: View the Fall 2024 schedule on Workday. Plan and prepare for your fall classes in this new, intuitive system. (Note: Spring and Summer Semester activities will continue on WebOPUS.) 
  • April 22: Deadline to sign up for Summer 2024 Session registration.  You will register for Summer Sessions in WebOPUS. We recommend you work with your advisor for these sessions.
  • April 1: Registration for Fall 2024 kicks off on Workday.

This transition is ongoing for the next few months. Check back here often for newly added how-to’s and process updates.

Search Workday instructions

Accept & Decline Award Offers - Workday
  • Navigate to the Financials Hub app from either the Your Top Apps section on your Workday home page or the MENU icon at the top left of the window.  
  • On the left column, select “View Financial Aid”.  
  • Click into the “Award Year“ field and choose the year you would like to view, then select “OK.” 
  • Scroll down until you see the “Accept/Decline Awards” button, and select it.   
  • Click into the decision field next to each available award you would like to accept by choosing “Accept.” (You also have the option to select “any” or take a partial amount of an award in the Amount Accepted field if needed) 
  • Select the “OK” button when done.  

Error Notes 

  • If a yellow flag appears at the top right, this is simply an FYI that you deny or partially accept a loan. You can continue with the selections without error. 
  • If a red flag appears at the top right, an error must be corrected before you can submit. Click on the flag to see the reason for the error. 
Accept/Deny Financial Aid Awards - Workday
  • Navigate to the Financials Hub app from either the Your Top Apps section on your Workday home page or the MENU icon at the top left of the window.  
  • On the left column, select “View Financial Aid.”  
  • Click into the “Award Year“ field and choose the year you would like to view, then select “OK.” 
  • Scroll down until you see the “Accept / Decline Awards” button, and select it.   
  • Click the Decision field next to each available award you would like to accept by choosing “Accept.” (You do also have the option to select “Deny” or accept a partial amount of an award in the Amount Accepted field if needed) 
  • Select the “OK” button when done.  

Add a Course Section with Variable Credits to a Saved Schedule, or Register for a Course with Variable Credits
  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.
  2. On the right-hand side, select “Find Fall Course Sections.”
  3. Browse courses using the search bar, the filters on the left side, or scrolling through the complete list. Select the course section name in blue to drill into the course details.
  4. View the credit hours on the View Course Section page next to Credits. Variable Credit courses will display a range of credits rather than a fixed number. (ex. Matt 113- Algebra for Calculus displays “3-4 Credits”).
  5. Select the Add to Saved Schedule button if you are still preparing for registration, or select the Register button if you want to register for this course individually.
  6. Check the box next to the preferred Course Section meeting time.
  7. Type the number of credits you wish to register for in the Credits field. Ensure you choose a credit amount within the established credit range for the course section.
  8.  Select the OK button when done.
Apply for Graduation - Workday
  • Log in to Workday
  • Select the Academics App
  • On the right-hand side, under "Requests," select "Apply for Program Completion."
  • If you are pursuing multiple programs at once (for example, a certificate and a bachelor’s degree), select which one(s) you plan to complete by checking the box on the left-hand side under "Apply."
  • Check the box next to "Confirm."
  • Select "Submit."
Basic Navigation - Workday
  • Menu Navigation: Click the "MENU" icon at the top left to access commonly used apps like Academics and the Financials Hub.
  • Home Page Shortcut: Use the "FORT LEWIS COLLEGE" icon at the top left to return to the Workday home page anytime.
  • Notifications: The "bell" icon at the top right displays your Notifications. A number on the bell shows unread items. Click to view your notifications.
  • Action Items: The "mailbox" icon next to the bell represents My Tasks for important action-required messages. A number indicates pending actions.
  • Personal Profile: At the far top right, your "photo" icon leads to Profile. You can view and update your personal details, academic records, and more here.
  • Home Page Access: The Workday Home page features a Your Top Apps box for quick access to Academics and the Financial Hub and an Awaiting Your Action box for outstanding tasks.
  • Search Bar Note: Currently, the search bar's functionality for students is limited, so you can skip using this feature for now.
Calendar View of Saved Schedule - Workday

You can preview your anticipated class schedule in a calendar format before registering using your Saved Schedule.

  1. Navigate to the "Academics app" from either the Workday home page "Your Top Apps" box or from the "MENU" at the top left of the Workday portal.
  2. Find the "Registration" section in the right column. Select "View My Saved Schedules" in the task list.
  3. Click into the "Start Date within" field, click "All," and then select the semester term you are registering for.
  4. Click "OK."
  5. Click the "Calendar View" button to view the saved schedule in a calendar view pop-up window.
Change Preferred Name - Workday

Your preferred name will be used for all campus communications. Individuals you authorize under FERPA can view - and may be informed about - the preferred name and pronouns on your record.

  1. Select the photo icon at the top right of your Workday portal. Then click View Profile
  2. Click the Actions button in your Profile.
  3. Hover over Personal Data, then click Change My Preferred Name
  4. Determine if you would like to keep the box checked next to Use Legal Name As Preferred Name. (You may need to change your legal name first).  
  5. Enter your updated information in the comment box.  
  6. Click Submit.  

Common Issues with Registration

The Troubleshooting Console is for looking at a single course section. Other potential issues preventing a student’s registration entirely that may need to be checked are: 

  • Action Items or incomplete Tasks: Have the student check their homepage, under Awaiting Your Action, or the My Tasks inbox at the top right of their portal. The student may have tasks that require completion before they can register (ex., Accept terms and conditions of their program of study, accept financial aid, pay a past due balance, provide a requested document, etc). For staff/faculty/advisors, action items and holds can be viewed from the student’s Profile under the Action Items and Holds section.  
  • Actions to do in Registration Requirements: The student may have additional action items to complete that are directly related to registration. These tasks will appear on their Academics App in the Registration Requirements table. These tasks may be holds or incomplete tasks that feed from their My Tasks inbox. This table will list actions to do with a resolution. 
  • Holds: The student may have holds that prevent registration. These holds will appear on their Academics App in the Registration Requirements and Holds tables. The Holds table will list the hold description with a resolution. (ex. The student has an unpaid past-due balance) For staff/faculty/advisors, action items and holds can be viewed from the student’s Profile under the Action Items and Holds section. 
  • Registration Appointment: The student may be trying to register outside their date window, which is referred to in Workday as a Registration Appointment. This is not a physical appointment they must attend; it is simply the date range they can register for each term. The student can find their registration appointment from their Academics App under the Registration Appointment table.  
Confidentiality Overview - Workday

If you agree to share your information beyond FLC, it remains protected under FERPA. This consent allows us to verify your attendance with external parties like employers, graduate schools, and scholarship agencies. If you prefer to keep your information confidential, you request that your records be kept private. This means all college business must be handled in person, and we cannot verify your attendance with anyone, even after graduation.  

Opting to publicize your directory information means it will be listed in the FLC Student Directory and accessible only to those with active FLC accounts. This choice does not waive your FERPA rights if you do not want to be in the directory. 

Configure and Manage Privacy Settings - Workday

You may receive a notification in your Bell icon inbox to manage your privacy settings. You can also update your privacy settings on Workday at any time.

  1. From the search bar at the top of the Workday portal, type "Manage My Privacy Settings" and select the task from the search results.
  2. Read the terms and conditions carefully. The first term to accept or decline is "I consent to share my information outside this institution." Select the bubble to consent or not consent. If you do not consent to the first choice, the next choice will automatically change to not consenting.
  3. The second term to accept or decline is "I want my directory information to be public." This pertains to how and what you wish to display in the Public Student Directory in Workday. This directory is only viewable in Workday, so only individuals with a Workday account can access this information.
  4. Select the box to the right of each field you would like students, staff, or faculty to see when they search for you in the Workday Public Student Directory:
    • Primary Institutional Address
    • Primary Institutional Phone Number
    • Primary Institutional email address
    • Date of birth
    • Academic Level
    • Class Standing
    • Academic Unit
    • Primary Program of Study
    • Expected Graduation Date
    • Athletic Team
      Note: Advisors, Skyhawk Station, Financial Aid, and other student-serving staff or faculty roles may be able to view more of your academic or financial information than listed.
  5. You do have the option to decline consent to appear in the student directory, but consent to sharing information outside the institution. Select the bubbles to configure your settings as you prefer.

You can change your privacy settings should you choose to change your preferences at any time.

What this impacts if a student declines to share information in Workday...

  • Fort Lewis College cannot acknowledge any affiliation between the student and the institution to anyone to protect the privacy of a student who declines the first privacy setting choice.
  • FLC will also not be able to disclose your enrollment at FLC to employers or financial aid entities. This may impact your ability to receive financial aid.
  • First year students will not be able to claim their Purgatory Ski Pass because FLC cannot disclose your attendance.
  • The student will not appear in the Public Student Directory in Workday if they decline the second choice.
  • If a student declines either choice, the student’s Workday profile will display (“Private”) next to their name to indicate to any staff or faculty who view their profile that their information is confidential.
  • The student will not be able to reach out to Advisors, AskIT Help Desk, or Skyhawk Station by phone about inquiries or questions. To protect the student’s identity, these resources will only be permitted to give you the answer, “I have no information on that individual”. Students must correspond using their Fort Lewis email account, or must come in person with a photo ID if they decline either choice.
  • The student will appear on their Canvas course roster as {(Last Name) “Private, (First Name) “Private”). This may impact the student’s ability to interact with their instructor and classmates within Canvas.
  • The student’s name will not appear on commencement pamphlets and information upon graduation if privacy settings are configured to not consent.

You can change your privacy settings easily and any time in Workday should you choose to change your preferences. Every student has the right to request confidentiality, but it is encouraged to review privacy settings with additional consideration.

Drop a Course During Registration - Workday

You can drop a course section from View My Courses in Workday during open registration periods.

  1. Navigate to the Academics app from either the Workday home page, Your Top Apps box, or the MENU at the top left of the Workday portal.
  2. Find the Academic Records header on the right tasks column.
  3. Select View My Courses from the task list.
  4. View your list of My Enrolled Courses and scroll the list to the farthest right until you can see a Drop button next to each course.
  5. Select the Drop button next to the course you would like to drop.
  6. Check the Confirm box on the next window. Then select OK.
  7. Select Done in the next window to confirm that the task was completed successfully.

*Note: The Drop button will not be visible after the registration period closes post-census.

Enrollment Verification for Current Students - Workday
  1. Navigate to the Academics app from either the Workday home page, Your Top Apps box, or the MENU at the top left of the Workday portal.
  2. Find the Transcripts header on the correct task column list.
  3. Select Self-Service Enrollment Verification.
  4. Click the Academic Period field and type the term you wish to view. (ex. “Spring 2024”). Click Enter and select the desired term from the search results.
    *The Program of Study field is optional, but you can type the name of the program of study and click Enter to find the result.
  5. In the Issue To field, type the entity the enrollment verification needs to reference, if applicable.
  6. Check the boxes for the information you want to include in the enrollment verification (including Degree Program, GPA, Anticipated Graduation Date, Class Schedule, and Student ID). Any boxes not checked will not appear on the final document.
  7. Click OK to proceed.
  8. From this page, you can print the document to a PDF by clicking the Print button at the bottom. The document may load and pop up within a few seconds, which you can download.
    *You may instead receive a message that says, “Your Request is Being Processed. You can continue to wait or choose to be notified later.” This message is informing you that the document is being loaded. Click Notify Me Later to remove the notification.
  9. Click on the bell icon at the top right of your Workday portal to find the document in your Notifications once it has been created. There will be an item in your Notifications called document Available: Print Layout-Self Service Enrollment Verification… pdf is now available… in the description.
  10. Select the notification from your list on the left and then click the blue file in the notification details to open the Enrollment Verification document.
  11. This document can be printed or downloaded from the buttons at the top right of the pop-up. Click the back arrow at the top left to return to Workday.
Errors vs. Alerts - Workday

You may receive an error or an alert in Workday when registering for course sections or creating saved schedules.

  • Alerts will appear as an orange ribbon at the top right of the page. Click on the orange ribbon to view more details about the alert. Alerts are FYI’s or reminders to note. (For example, a course section may require a lab that must be selected and registered in addition to the class you are currently adding to a saved schedule.) You can continue the process you are working on, even if you receive an alert.
  • Errors will appear as a red ribbon at the top right of the page. Click on the red ribbon to view more details about the error. You cannot proceed with your process if there is an error. Errors appear if there is a required field missing information if there is an eligibility requirement for the course section that the student may not meet, or if there is a scheduling conflict (For example., you have already added a course section to your schedule that overlaps meeting times with the course section you are trying to add).
Exploring the Financials Hub - Workday
  • Navigate to the home page by selecting the Fort Lewis College icon. 
    • Under Your Top Apps, select Financials Hub.
  • You can also navigate to the Financials Hub from the Menu.
  • The Overview section of the Financials Hub displays current balances due on your bill, recent payments, and financial aid award status. 
  • Statements & Documents is where you will view your bill.  
  • The Suggested Links section routes a student to external FLC links to manage payments and payment settings. 
  • Most financial tasks will be completed in the View Financial Aid section
Find your Advisor and Support Contacts - Workday

Your assigned advisor and their contact information are in your Academics app in Workday!

  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.
  2. Find the Important Contacts Support Network table. This table lists types of support contacts (Skyhawk Advisor or Faculty Advisor), the student cohort group this contact supports (e.g., Engineering under 60 credits), the name of your contact, and their contact email.

How can I set my Workday profile to default to my Worker Information instead of my Student Information as a staff/faculty taking classes?

I’m a Staff/Faculty member, but I’m also taking classes. How do I change my Workday Profile to default to my Worker information instead of my Student Information?  

  1. Log in to Workday and select the profile picture icon at the top right of the Workday portal, Then select the “View Profile” button. 
  2. Select the “Actions” button under your name in the blue column. Scroll down the list and hover over the “Preferences” action, then select “Edit Preferences”.  
  3. Scroll down slightly until you see the “Account Preferences” section. 
  4. Click into the empty field next to “Preferred Default Profile View”.  Select “Worker”. 
  5. Click “OK”, then select “Done”. 
  6. Your profile sections in the blue column will now default to your Worker information. To view your Student information, click on the “Summary” section in the left blue column list. In the Worker/Student table, click on your name in blue under Student. The blue profile sections will display your student information. If you navigate away from your profile or log out of Workday, the profile will default back to your Worker information.
Legal Name Change in Workday

If you change your name, your new name will appear on transcripts ordered after the change has been processed. You can even request a replacement diploma that reflects your new name.

To change your legal name: 

  1. Select the photo icon at the top right of your Workday portal. Then select View Profile
  2. Select the Actions button in your Profile, hover over Personal Data, then select Change My Legal Name
  3. Review the documentation requirements for changing your name.  
  4. Confirm the Country field is correct (auto-populates to the United States of America) 
  5. Enter a prefix in the field, if applicable. 
  6. Update the First Name, Middle Name, and/or Last Name fields as needed.  
  7. Enter a Suffix in the field, if applicable. 
  8. Enter an explanation in the Comment box for the reason for the name change. 
  9. You can drag and drop the required document into the Attachment box or select Select Files to upload it from a location on your computer.  
  10. Select Submit. This request requires additional approval before updates appear in Workday. 
Manage Financial Aid from the Financials Hub - Workday
  • Navigate to the Financials Hub app from either the Your Top Apps section on your Workday home page or the MENU icon at the top left of the window.  
  • On the left column, select “View Financial Aid”.  
  • Click into the “Award Year“ field and choose the year you would like to view, then select “OK.” 
  • This dashboard will display tables that break down estimated financial aid, estimated costs, and awards breakdowns by term.  
  • The Print Award Letter and Print College Financing Plan buttons allow you to print award letters and college financing summarie.  

Navigate Profile - Workday

Navigate and manage your information within the Workday portal.

  • Access Your Profile: Navigate to your profile by clicking the "person icon" (or photo) at the top right of your Workday portal. Click the "View Profile" button.
  • Profile Sections: On the left side, you'll find different sections in the blue area. Click on each section to explore further. Use the "Tabs" in each section to access more detailed information.
  • Important sections and features:
    • Actions: Use the "Actions" button for direct links to update your Medicare data, profile photo, legal name, or preferred name.
    • Summary: This is an overview page that includes basic student info, residency status, housing assignments, account activity, and work-study details (if applicable).
    • Personal: Edit personal details, including preferred name, pronouns, gender identity, access IDs, housing, and residency information through the tabs.
    • Contact: Check and modify your address and phone number.
    • Academics: See your program details, current classes, academic history, progress, and transfer records.
    • Student Financials: Look at your Transaction Summary for current term dues and specific "Due Now" information.
    • Action Items and Holds: Monitor required actions for Financial Aid, Admissions, or work-study onboarding, and view any active or resolved holds on your academic record.
Note on Workday Errors
  • If a yellow flag appears at the top right, this is simply an FYI that you are denying or partially accepting a loan. You can continue with the selections without error. 
  • If a red flag appears at the top right, an error must be corrected before you can submit. Click on the flag to see the reason for the error. You may encounter this error if you accept a federally subsidized loan but deny a federally unsubsidized loan.  
Print Award Letter as PDF
  • Navigate to the Financials Hub from the home page Top Apps or Menu
  • Select View Financial Aid
  • Click into the Award Year field and choose the 2023-2024 Award Year
  • Select OK
  • Scroll down and select the  Print Award Letter button
  • Select Done
  • Navigate to the Bell icon at the top right of the portal
  • Select the Document Available notification
  • Select the document name in blue in the details to open the pdf
  • Click the back arrow at the top left of the PDF preview to go back.
Register for a Waitlisted Course - Workday

When creating a saved schedule or registering from Find Course Sections, the meeting times of a course section will display a negative number of seats available. You can still proceed, but you will be put on the waitlist if others register to drop the course. 

  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.   
  2. Under the Registration section, click Find Course Sections. (The name of this report will update to reflect the current registration term: Find Fall Course Sections, Find Spring Course Sections or Find Summer Course Sections) 
  3. Browse courses using the search bar, the filters on the left side, or scrolling through the complete list. Select the course section name in blue to drill into the course details.   
  4. When you select a course section you would like to take, click the Register button. (*Note: This button will only appear during open registration periods)  
  5. Review the session times and course section selection one more time. Note that the Seats Available column will be either 0 or a negative number if others are on the waitlist.  
  6. Click Register, then Done.   
  7. Go back to the Academics app and select View My Courses from the Academic Records header on the list of tasks on the right to view full details of the registered course schedule.  
  8. The table in View My Courses will show your spot on the waitlist.  
  9. Check back often to see if your spot moves up.  

Registration Step 1: Search for Classes - Workday

Course Sections will not be published in Workday for the Fall 2024 Semester until March 25.  

  • To view the course catalog, select View Course Catalog at FLC, located in the Academics app in the MENU on the top left of your Workday portal.
  • This report is under the Academic Advising & Planning section and has filtering options for your browsing needs. You cannot register for classes from this report, but you can see all courses offered at FLC without being bound by a specific semester.  
  • If you want to view classes to build a saved schedule before registering or want to register for courses, access Find Course Sections in the Academics App.   

Watch how to search for courses to register for from Find Course Sections:

  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.   
  2. Under the Registration section, select Find Course Sections.  
  3. In the Start Date Within field, type the term and year you would like to browse and click enter to select from the search results (e.g., “Spring 2024”).  
  4. In the Academic Level field, select the academic level type you would like to see (Graduate, Remedial, or Undergraduate)  
  5. Leave the Campus Locations field blank. Click OK.  
  6. Browse courses using the search bar, the filters on the left side, or scrolling through the complete list.
  7. Select the course section name in blue to drill into the course details.   
Registration Step 2: Create a Saved Schedule for Registration - Workday

For Fall 2024, use Workday for registration; use WebOPUS for the Summer session.

  1. Access Academics App: Open the "Academics app" from the "MENU" or "Your Top Apps" on the Workday homepage.
  2. Find Courses: In Registration, select "Find Course Sections."
  3. Browse Courses: Search, filter, or scroll to view courses. Click the blue course section name for details. (The name of this report will be updated to reflect the current registration term: Find Fall Course Sections, Find Spring Course Sections, or Find Summer Course Sections) 
  4. Add to Schedule: For a desired course, click "Add to Saved Schedule."
  5. Manage Schedule: If you don't have one in "Saved Schedule," click "Create Student Registration Saved Schedule," name it, and save. If you have one, select it from the list.
  6. Choose Times: Click "Choose Times" for preferred meeting times and confirm with "OK."
  7. Add More Courses: Use "Add Course Sections" to find more courses or "Done" to finish browsing.
  8. Update Schedule: New courses will automatically join your current saved schedule.

Important note: Courses added to your saved schedule are not final until you register. To complete registration, select "Register" from View My Saved Schedules.

Registration Step 3: Register for Classes from Saved Schedule - Workday

Adding course sections to a saved schedule does NOT register you for them! To complete registration, you must click the Register button from View My Saved Schedules:  

  1. Navigate to the Academics app from either the Workday home page, Your Top Apps box, or the MENU at the top left of the Workday portal.  
  2. Find the Registration section in the right column. Select View My Saved Schedules in the task list.  
  3. Click into the Start Date within the field, then click All to select the semester term you are registering for.  
  4. Click OK.  
  5.  When your registration window has opened, you will have a blue Start Registration button below your saved schedule to click.  
  6. On the next screen, review your course section selections one more time. Click Register when ready. Click Done.   
  7. Congratulations! You have registered!    

Registration Step 4: Register for a Single Course Section - Workday

Registration will be completed in Workday beginning in the Fall 2024 semester registration period! Summer session registration should be completed in WebOPUS.

  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.
  2. Under the Registration section, click Find Course Sections. (The name of this report will update to reflect the current registration term: Find Fall Course Sections, Find Spring Course Sections, or Find Summer Course Sections)
  3. Browse courses using the search bar, the filters on the left side, or scrolling through the complete list. Select the course section name in blue to drill into the course details.
  4. When you select a course section you would like to take, click the Register button. (*Note: This button will only appear during open registration periods)
  5. Review the session times and course section selection one more time.
  6. Select Register, then Done.

Registering without a saved schedule will require you to filter your course sections report for every course section you look up. To register for all your planned course sections in one go, create a saved schedule and register from that collection using the instructions above.

Request a Course Section Prerequisite Override - Workday

Instructors can give Registration Overrides for your courses. An instructor override can allow a student to register for a course if:

  • They have not satisfied the prerequisites
  • The course requires instructor's permission
  • If the student is not satisfied in a class (first-year, sophomore, etc.) or there is a significant restriction,

Students can request an override in Workday. When searching for classes in Find Course Sections, you may receive an alert that you cannot register for a course section.

  1. In the Search bar at the top of your Workday portal, type "Request Course Section Prerequisite Override" and select the task from the search results.
  2. In the Academic Period field of the pop-up, start typing the term and year and click enter to select from the search results (ex. "Spring" 2024").
  3. Click on the Course field and type the course section name to bring up the course you want to request.
  4. Click into the Course Section field and start typing the course section name to bring up the course you want to request.
  5. Select OK.
  6. On the confirmation screen, you can add comments in the comment box if needed to help justify your override request or explain the circumstances of the override.
  7. Select Submit when ready. Select Done.
  8. The request will route to the instructor's inbox. The course instructor can approve the request, send it back to add comments for clarification or deny it.
  9. Check your My Tasks inbox (mailbox icon) and Notifications (bell icon) at the top right of your portal often to see if the request was approved or denied or if you need to provide more information.
Reviewing Financial Aid Action Items- Workday

You will likely have action items and tasks to complete to receive financial aid. These action items will appear in several places on Workday, so you can’t miss them!

Viewing in Student Profile 

  • You can access your Profile by clicking on the photo icon at the top right of the Workday portal and selecting “View Profile.” 
  •  Select the “Action Items and Holds” section in the blue column on the left. 
  •  The tabs across the top of this section allow you to view Action Items, Active Holds, and Resolved Holds
  • The Action Items tab organizes action items by Financial Aid, Admissions, and Onboarding types. This section shows all action items with details regarding the required action and the resolution.  

Viewing/Resolving Actions from My Tasks inbox 

  • On your Workday homepage, an Awaiting Your Action box displays the two most recently received outstanding action items in your My Tasks Inbox. You can drill into the tasks by selecting them from Awaiting Your Action or select “Go to My Tasks” to view all action items in your My Tasks inbox.  
    • Some Financial Aid tasks you may need to complete are promissory notes and accepting FA terms and conditions. 
  • You can also navigate to My Tasks anytime from the mailbox icon at the top right of the Workday portal. The number over the icon indicates the number of tasks awaiting your action.  
  • The list of tasks requiring action will be on the left of the inbox. Select the Financial Aid-related task and view the details on the right for the action necessary and complete. This is typically attaching a document needed, signing an agreement, or following additional instructions. 

Student Directory - Workday

Staff, faculty, and students can search for students on Workday using the Public Student Directory report. This directory is only viewable in Workday, so only individuals with a Workday account can access this information. 

  1. From the search bar at the top of the Workday portal, type “Public Student Directory” and select the report from the search results.
  2. From the report, individuals can search for any student using the search bar or available filters on the left column, and view certain information that you choose to disclose from your privacy settings. Based upon your selection under Manage Your Privacy settings, others may be able to view the following:
    • Primary Institutional Address
    • Primary Institutional Phone Number
    • Primary Institutional email address
    • Date of Birth
    • Academic Level
    • Class Standing
    • Academic Unit
    • Primary Program of Study
    • Expected Graduation Date
    • Athletic Team
  3. You can update what you would like others to see anytime from Manage My Privacy Settings, found from your search bar.

Notes:

  • Advisors, Skyhawk Station, Financial Aid, and other student-serving staff or faculty roles may be able to view more of your academic or financial information than listed.
  • If you change your privacy settings in Workday to “I don’t want my directory information to be public”, you will not appear in this directory. Course rosters in Canvas will display your name as {(Last Name) “Private, (First Name) “Private”).
Student Employment at FLC - Workday

If you are completing a work-study at FLC, you can View Employment Profile information directly from your personal profile by switching the view:

  1. Navigate to your profile by clicking the person icon (or photo) at the top right of the Workday portal, then click the View Profile button.
  2. Your profile opens to the Summary section by default.
  3. If you have an active work-study, you will see a heading for Worker and Student on the right side of this section.
  4. *Note your name under Worker in blue, and below the name is your position name. Note your name under Student in blue includes your 900 ID number, and below the name restates “Student.”
  5. To view your employment profile information, click your name in blue under the Worker header.
  6. You will now see different sections in the left blue profile area that reflect employment information, such as compensation, job info, pay, absence, and more.
  7. You can navigate to your student profile information in the Summary section by clicking your name under the Student header (includes your 900#). Alternatively, your profile will default back to student information if you navigate away from the profile. (For example, if you view your worker profile and then click on the Fort Lewis College icon at the top left to take you to the home screen and then go back to your profile, the information displayed will be your student information).

Update Personal Information - Workday

You can edit your personal information from your Workday profile, such as your Legal Sex, Date of birth, Pronouns, Marital Status, Race/Ethnicity, Tribal Affiliation, Citizenship status, and Gender Identity, and add disabilities or military service:

  1. Select the photo icon at the top right of your Workday portal. Select "View Profile."
  2. Under your name and 900 ID, select the "Actions" button in the blue column on the left of the profile.
  3. Hover over the Personal Data action and select "Change My Personal Information."
  4. Select the pencil icon next to the section you want to edit.
  5. Activate the empty fields to select answer choices.
  6. Select the check mark box in each section to save after making edits.

Adding a Disability or Military Service

  1. Select the "Add" button.
  2. Activate the empty field to select a choice.
  3. Complete any date fields that populate and select the check mark box to save.
  4. Select "Submit" at the bottom to complete your changes.
Update Profile Photo — Workday

Your profile photo appears at the top right of your Workday portal, in your profile, and as part of your searchable information in Workday. To change your profile photo: 

  1. Click the Actions button in your Profile, hover over Personal Data, then click Change My Photo
  2. Drag and drop your image from your desktop, or click the Select Files button to choose a file to upload.  
  3. Crop and adjust the image by dragging the corners to the desired specifications. The portion of the image within the unshaded circle represents how your photo will display on your Workday pages and profile icon.  
  4. Click OK and then Submit.  

Note: Compatible file types for photo uploads include .jpg, .png, and .gif.  

Using the Academics App - Workday

The Academics App will be your one-stop shop for most common tasks!

Accessing the Academics App: Find the app on the Workday home page under "Your Top Apps" or via the "MENU" button at the top left. Here are some of the tasks you'll complete from the Academics app:

  • View Holds: Check your academic and registration holds.
  • Registration Actions: See actions needed for registration.
  • Registration Appointments: View upcoming registration slots.
  • Class Schedule: Access your current class timetable.
  • Advisor Contacts: Find and contact your advisor.
  • GPA Information: Check your cumulative and Program of Study GPAs.
  • Course Catalog: Browse the course offerings anytime.
  • Schedule Planning: Create a saved schedule for future courses.
  • Class Registration: Register for classes using "Find Course Sections."
  • Academic Progress: View your Academic Progress report and record.
  • Grades: Check your midterm and final grades.
  • Student Resources: Access forms and advisor info at the Student Resource Center.
  • COF Authorization: Request changes to COF Authorization.
  • Program Completion: Apply for completion of your program.
  • Unofficial Transcript: Generate an unofficial transcript.
  • Enrollment Verification: Produce a self-service Enrollment Verification.

Using the Troubleshooting Console

When a student tries to register for a specific course section in Find Course Sections, there may be factors that do not allow them to register for that course, even if they are in their appropriate Registration Appointment. When selecting a course section, the student may not see a Register button but instead a Troubleshoot button. Use the Troubleshooting Console to assist the student in determining why they are unable to register for that specific course section.  

  1. Advisors, faculty, or staff can utilize the Registration Troubleshooting Console by searching for this in the Workday Search bar and selecting the result. 
  2. In the next window, select the bubble next to Student. Click into the field and type the student’s name to choose. (Search hint: Type part of the student’s first name and part of their last name, then Enter to reduce search results) 
  3. Type the semester name and year in the Search Date Within field, then Enter to reduce search results. (ex. “Fall 2024” for fall semester 2024) 
  4. Click the Course field to find the course by category, or type part of the course name and then Enter to reduce search results. 
  5. Click into the Course Section field, then select All. This will filter available sections (meeting times) by all available in the Course you selected in the previous field. Select the course section of interest.  
  6. Select the OK button.  
  7. In the top area of the console, you will see one piece of information that may be of use: 
    1. Active Record During Academic Period: Yes or No (Is the student active for this semester?) 
  8. There are tabs below the basic course section information that can indicate other reasons for registration prevention: 
    1. Summary: will display an overview of potential issues preventing registration (Is there a hold? Does the student have registration access? Are they eligible for the course or section? Is this course section published?) 
    2. Enrollment Access: This tab explains the logic behind the course section access grading policy and may be useless. 
    3. Appointments and Date Controls: Identifies parameters of registration appointments based on graduate or undergraduate registration window parameters. This may help determine if there is a different registration appointment (window) for an undergrad for this course vs. a graduate student.  
    4. Course Eligibility: The student may not be eligible for the course section (yes or no). If the answer is No, a Course and Course section rule in blue can be selected to drill into the specific eligibility requirements of the course and section under the Meaning.   

All data that is blue can be selected and drilled into further. (Ex. If the student has two holds, you can choose the number 2 in that area to drill into the hold information.  

View Academic Progress Report -Workday

The Academic Progress Report in Workday will replace the uAchieve audit for monitoring your course and credit accomplishments within your program of study. Access it via the Academics app or your Profile.

From the Academics app:

  1. Go to the Academics app from the MENU at the top left of your Workday portal or from "Your Top Apps" on the homepage.
  2. Under the Academic Advising & Planning header, choose "View My Academic Progress."
  3. Verify your student name and 900# ID in the pop-up, then click "OK."

How to read the report:

  • The report showcases overall academic progress, detailing total and completed credits, credits in progress, and your academic status.
  • The Program of Study section includes major GPA, requirement effective dates, and the last evaluation date.
  • It lists all program requirements, their statuses (satisfied, in progress, not satisfied), remaining requirements, registered courses, academic periods, credit numbers, and final grades.
  • For multiple study programs, each has its own section. Collapse data using the dropdown arrow next to the Program of Study name.

Exporting the Report:

  • Export to Excel: Click the icon resembling a sheet with an 'x' (tooltip: 'Export to Excel'). In the pop-up, hit the "Download" button, and the file will appear in your browser downloads.
  • Export to PDF: Select the PDF icon (tooltip: 'View Printable Version- PDF'). Click "Download" in the pop-up, and the file will be in your browser downloads.

Note: If the Academic Progress report appears incorrect, contact your Advisor for a uAchieve audit verification.

View Class Schedule Once Registered - Workday

Your schedule will appear in several places in Workday after you register.

Academics app:

  1. Navigate to the Academics app and find the Current Schedule table.
  2. Also in the Academics app, under the Academic Records header on the right is a task called View My Courses. Click here to view current courses in a table or a calendar view.

Your Profile also houses your current schedule:

  1. Click the photo icon at the top right of your Workday portal, then View Profile.
  2. Click on the Academics section in blue on the left, then select the Current Classes tab across the top. This area also includes a calendar view option.
View Course Catalog - Workday
  • To view all courses offered by FLC, click View Course Catalog at FLC, located in the Academics app in the MENU of the top left of your Workday portal. This report is under the Academic Advising & Planning section and has filtering options for your browsing needs. You cannot register for classes from this report, but you can see all courses offered at FLC without being bound by a particular semester.
  • If you want to view classes to build a saved schedule before registering or wish to register for a specific term, access Find Course Sections under the Registration header in the right column of the Academics App.

Course Sections will not be published for the Fall 2024 Semester until March 25.

View Holds and Outstanding Actions - Workday

You may have holds that prevent you from registering for classes. You can check if you have any outstanding actions or holds to address in Workday from the Academics app.

  1. Navigate to the Academics app from either the Workday home page, Your Top Apps box, or the MENU at the top left of the Workday portal.
  2. In the Registration Requirements table, you will see items in several formats:
    1. # Actions To Do, Holds, and Actions completed across the top. These numbers can be drilled into for more information. Click on the number above Holds for more information about the type of hold on your account.
    2. The Holds header, under Registration Requirements, will also list the hold type on your account.
  3. There is also a section in the Academics app called My Holds. This area is a table that displays the hold reason, a brief description, and resolution instructions to remove the hold.

To view the history of previous holds that have been resolved, you can navigate to your profile.

  1. Select the photo icon at the top right of the Workday portal, then click View Profile.
  2. Select the Action Items and Holds section in blue on the left column of the profile.
  3. Select the Resolved Holds tab across the top to view historical holds on your account.

View Upcoming Registration Appointments -Workday

Stay updated with your registration dates and understand your eligible registration windows for future semesters.

  • Access the Academics app via the MENU at the top left of your Workday portal or from "Your Top Apps" on the homepage.
  • Locate the "Upcoming Registration Appointments" table to see your designated registration periods for upcoming semester terms, including the specific date ranges when you can enroll in courses for each term.
Viewing Financial Aid Items in Profile - Workday
  • Navigate to your Profile by selecting the photo icon at the top of the Workday portal.
  • Select “View Profile”
  • Select the “Action Items and Holds” section in the blue column on the left
  • The tabs across the top of this section allow you to view Action Items, Active Holds, and Resolved Holds

Viewing Transfer Credits and External Records - Workday

View your transferred credits in your Workday profile.

  1. Click on the "photo" icon at the top right of your Workday portal. Then click "View Profile."
  2. Select the "Academics" section in the profile's left blue column.
  3. Click on the External Records tab across the top of the section.
  4. Here, you will see your transfer credits from other schools, standardized testing scores, and placement for math and comp courses.  
Viewing/Resolving Actions in My Tasks inbox - Workday

Action Items will also appear in the My Tasks inbox, typically with the ability to resolve the action. 

  • Navigate to your My Tasks from the mailbox icon at the top right of the Workday portal
  • On the left will be the list of all action items requiring action. Select the Financial Aid related task
  • View the details for the action required and complete.
    • *This is typically attaching a document needed, signing an agreement, or following additional instructions. 
When Can I Register in Workday?

Registration will be completed in Workday beginning in the Fall 2024 semester registration period! Summer session registration should be completed in WebOPUS.

Your registration window date range is called a Registration Appointment in Workday. There is no physical appointment necessary.

Registration appointments are your eligible registration date windows for upcoming semester terms and will appear in your Academics app in Workday under the Upcoming Registration Appointments table.

  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.
  2. Find the “Upcoming Registration Appointments” table to view the upcoming semester term or terms and the date range of your registration window.
