Completing Registration Eligibility Overrides as the Instructor

When a student requests a registration override for your course section, a task appears in your Workday inbox or My Tasks. My Tasks is located at the top right of your Workday portal. Select the mailbox icon, indicating tasks requiring your action. A red circle with a number indicates the number of unread tasks in your inbox. Check your Workday inbox often to ensure there are no outstanding tasks to complete. You can also see exceptional tasks from the Workday homepage in the Awaiting Your Action table. Checking My Tasks often is especially important during semester start-up.

  • Navigate to My Tasks at the top right of your Workday portal to view all tasks. Your inbox will contain a task with the header “Eligibility Override.” The task details include the course section, the student requesting the override, and other information.
  • Review the student’s academic records from their Workday Profile first to determine whether they fit your course well. See below the instructions for View Student’s Program of Study, Academic Progress Report, and Registered Courses.
  • Navigate back to My Tasks at the top right of your Workday portal to view the Eligibility Override request and provide a decision.
  • To approve the override, select the Approve button at the bottom of the task.
  • If you need more information before deciding, comment in the Enter Your Comment box to ask a question. Then select the Send Back button. Once the student responds and re-submits the request, you will receive this task in My Tasks again.
  • If you want to decline the override request, select the Deny button at the bottom of the task.

*Be sure to research transfer credits and placements in the student’s profile under Academics and External Records before granting eligibility overrides. 

Overrides due to time conflicts are not permitted. If a student is registered for another course section that conflicts with the time of the desired additional course section, the Registrar will not honor the request. 

Viewing your account activity and statement in Student Account Suite
  1. To view a full breakdown of billable line items paid and due, including historical payments, Login to your Student Account Suite
  1. At the top left of the portal, select My Account
  1. Select Account Activity.

  1. In the Filter Activity By field, select Full Account Activity or Date Range.
    Select the View Activity button.
  1. To view the official billing statement, select My Account from the top left of the Student Account Suite.
  1. Select Statement to view the billing statement.
  1. The billing statement can be downloaded as a pdf from the page.

*If you make changes to your schedule, your balance may change. You will receive an email if your statement has been updated.

Navigating to your billing statement from Workday

If you are currently logged in to your Workday portal, you can navigate to the Student Account Suite.  

  • Select the Financials Hub app, from either the homepage in the My Top Apps section, or from the MENU at the top left of the portal.
  • Select any of the links in the Suggested Links section on the left to be routed to the Student Account Suite.
Add social security to Workday

You must add your social security number in Workday to apply for the Colorado Opportunity Fund.

  1. Log into Workday
  2. In the Search bar at the top of the page, type “Change My Government ID.”
  3. Enter your social security number under the ‘Add/Edit ID’ heading.
  4. Select SUBMIT at the bottom of the screen after you have entered it.
  5. You do not have to fill out or change any other fields on the form.
EmpowerEd financial aid for students experiencing homelessness

EmpowerEd is a state-funded program administered by the Colorado Department of Higher Education to provide higher education funding and support to individuals who experienced homelessness and were identified as being McKinney-Vento eligible by designated school personnel while enrolled in a Colorado high school.

FosterEd financial aid for students experiencing foster care or non-certified kinship care

The FosterEd program pays for the total cost of attendance for qualifying students who attend public institutions of higher education within Colorado. This state-funding program pays for the remaining balance of the total cost of attendance after scholarships, grants, and other financial aid awards have been applied.

To qualify for this program, students must have been in foster care or non-certified kinship care in Colorado on or after their 13th birthday. If you believe you are eligible for this program, notify the financial aid office at your institution or contact a Colorado State Foster Care Student Navigators. 

Transferred Credits Fulfilling LAC Requirements

If you are seeing that your transferred credits are showing up as a zero-credit hour LAC attribute course on your Academic Progress Report, this is known Workday behavior. It might look like you are losing transfer credit, but you are not. Instead, Workday is only picking up the zero-credit hour component of the transfer credit that meets the requirement.

You can see both the credit bearing TXX transfer component and the zero-credit hour LAC attribute course in your Workday profile.

How to View Your Transfer Credits in Workday:

  1. Click on the "photo" icon at the top right of your Workday portal. Then click "View Profile".
  2. Select the "Academics" section in the profile's left blue column.
  3. Click on the Transfer Credits tab across the top of the section.
  4. Click the "Originating Coursework" column heading to sort the list in ascending order.
  5. Look for your zero-credit hour LAC attribute course, which should appear as a GS (General Studies) course.
    • This GS course is what fulfills your requirement in your Academic Progress Report.
  6. Directly above the GS course, you should see a TXX course (credit-bearing) that has earned credits.
  7. Both the GS and TXX courses should list the same class from your previous institution in the "Originating Coursework" column.
    • This confirms that both entries are linked to the same transfer course.

Federal Direct Loans

There are two distinct Federal Direct Loan programs:

  1. Subsidized Loan Program: The subsidized program is based on financial need, and the borrower does not pay interest while enrolled at least half-time. 
  2. Unsubsidized Loan Program: The unsubsidized loan program does not have this in-school subsidy and is not need-based. All eligible students may apply for and receive these funds. 

Under the unsubsidized program, interest can accumulate or capitalize until the borrower is out of school, increasing the principal's amount. The borrower can make interest-only payments to avoid capitalization. View up-to-date information on interest rates and loan origination fees.

Federal Direct Plus Parent Loans

Federal Direct Parent PLUS Loans are for parents who wish to borrow to help pay for their student's education.

  • You must complete the FAFSA before applying for a Federal Direct Parent PLUS Loan.
  • Federal Direct Parent PLUS Loan applicants are subject to credit checks.
  • Parents may borrow up to the cost of the attendance budget, minus any other financial aid, each year.
  • Repayment begins within 60 days after the loan has been completely disbursed. Go to the interest rate page on the Federal Student Aid site to view up-to-date information on interest rates and loan origination fees.

The US Department of Education funds Federal Direct Parent PLUS Loans. You accept the Federal Direct Parent PLUS Loan through the student's WebOpus account. The parent will need to apply for the loan at studentloans.gov.

If a parent is denied a Federal Direct Parent PLUS Loan, a dependent student may be considered for a different portion of the unsubsidized Direct loan. Origination fees will be deducted from the loan upon disbursement. Origination fees are subject to change.

Alternative loans

Private loans have no government subsidy. These college loans require a more stringent qualification of creditworthiness and may have higher interest rates than federal student loans.

The Financial Aid Office advises all students to use the Direct loan programs first.

Undergraduate loan amounts

The amounts that undergraduate students may borrow per academic year depend on the credits earned.

PLUS (parent) Loan: Limited to Cost of Attendance minus other financial aid such as grants, scholarships, work-study, student loans, etc.

A dependent undergraduate borrower may accumulate a maximum of $31,000 in outstanding federal loan debt. The undergraduate independent borrower may get outstanding federal student loan debt of up to $57,500.

Repaying loans

Students and parents can find comprehensive information about undergraduate student loan repayment options on the Federal Student Aid website.

There is also a repayment estimator you can use if you are:

  • Curious about what your payment might be based on what you have borrowed so far;
  • Beginning repayment of your federal student loans for the first time; or
  • Exploring repayment options based on your income.
  • We also recommend contacting your loan servicer to explore the best repayment option.
Financial aid refunds

In most cases, the student's financial aid will be automatically credited each term when the student confirms full-time enrollment (at least 12 credit hours). Any funds awarded more than the direct charges due and payable to the institution will generally be made available to the student at the beginning of the term.

Checks for excess financial aid funds will be available on the first day of class if the student registers early as a full-time student. Aid will be processed once the student's financial aid file is complete. eRefunds are available through Student Account Suite and will allow the funds to be in the eRefund account before the start of school as long as the student has correctly set up the account and confirmed their enrollment.

Financial Aid is applied as it is awarded and received. You must accept your financial aid electronically on your WebOPUS account.

When financial aid exceeds the amount of institutional charges, a refund will be made available. The initial refund is created for the student when all aid credits are simultaneous. If the Federal Direct Parent Loan disburses after other aid has been credited, a refund will be produced for the parent borrower unless designated otherwise on the Federal Direct Parent Loan promissory note.

Overpayment refunds

Charges paid with a credit card and then reversed will be credited back to the credit card. All other overpayments will be refunded to the student. A 30-day hold may be placed on more significant amounts paid with a personal check.

Tuition refunds for dropped classes

Students who drop a class on or before Census Day but remain enrolled will receive a 100 percent refund of tuition and fees for that class. Students who drop a class the day after the Census but remain enrolled must pay 100 percent of tuition and fees for that course (no refund).
