Configure and Manage Privacy Settings - Workday

You may receive a notification in your Bell icon inbox to manage your privacy settings. You can also update your privacy settings on Workday at any time.

  1. From the search bar at the top of the Workday portal, type "Manage My Privacy Settings" and select the task from the search results.
  2. Read the terms and conditions carefully. The first term to accept or decline is "I consent to share my information outside this institution." Select the bubble to consent or not consent. If you do not consent to the first choice, the next choice will automatically change to not consenting.
  3. The second term to accept or decline is "I want my directory information to be public." This pertains to how and what you wish to display in the Public Student Directory in Workday. This directory is only viewable in Workday, so only individuals with a Workday account can access this information.
  4. Select the box to the right of each field you would like students, staff, or faculty to see when they search for you in the Workday Public Student Directory:
    • Primary Institutional Address
    • Primary Institutional Phone Number
    • Primary Institutional email address
    • Date of birth
    • Academic Level
    • Class Standing
    • Academic Unit
    • Primary Program of Study
    • Expected Graduation Date
    • Athletic Team
Note: Advisors, Skyhawk Station, Financial Aid, and other student-serving staff or faculty roles may be able to view more of your academic or financial information than listed.
  5. You do have the option to decline consent to appear in the student directory, but consent to sharing information outside the institution. Select the bubbles to configure your settings as you prefer.

You can change your privacy settings should you choose to change your preferences at any time.

What this impacts if a student declines to share information in Workday...

  • Fort Lewis College cannot acknowledge any affiliation between the student and the institution to anyone to protect the privacy of a student who declines the first privacy setting choice.
  • FLC will also not be able to disclose your enrollment at FLC to employers or financial aid entities. This may impact your ability to receive financial aid.
  • First year students will not be able to claim their Purgatory Ski Pass because FLC cannot disclose your attendance.
  • The student will not appear in the Public Student Directory in Workday if they decline the second choice.
  • If a student declines either choice, the student’s Workday profile will display (“Private”) next to their name to indicate to any staff or faculty who view their profile that their information is confidential.
  • The student will not be able to reach out to Advisors, AskIT Help Desk, or Skyhawk Station by phone about inquiries or questions. To protect the student’s identity, these resources will only be permitted to give you the answer, “I have no information on that individual”. Students must correspond using their Fort Lewis email account, or must come in person with a photo ID if they decline either choice.
  • The student will appear on their Canvas course roster as {(Last Name) “Private, (First Name) “Private”). This may impact the student’s ability to interact with their instructor and classmates within Canvas.
  • The student’s name will not appear on commencement pamphlets and information upon graduation if privacy settings are configured to not consent.

You can change your privacy settings easily and any time in Workday should you choose to change your preferences. Every student has the right to request confidentiality, but it is encouraged to review privacy settings with additional consideration.

Apply for Graduation - Workday

View our Graduation Guide to see the detailed steps to apply for graduation.

Federal Direct Plus Parent Loans

Federal Direct Parent PLUS Loans are for parents who wish to borrow to help pay for their student's education.

  • You must complete the FAFSA before applying for a Federal Direct Parent PLUS Loan.
  • Federal Direct Parent PLUS Loan applicants are subject to credit checks.
  • Parents may borrow up to the cost of the attendance budget, minus any other financial aid, each year.
  • Repayment begins within 60 days after the loan has been completely disbursed. Go to the interest rate page on the Federal Student Aid site to view up-to-date information on interest rates and loan origination fees.

The US Department of Education funds Federal Direct Parent PLUS Loans. You accept the Federal Direct Parent PLUS Loan through the student's WebOpus account. The parent will need to apply for the loan at studentloans.gov.

If a parent is denied a Federal Direct Parent PLUS Loan, a dependent student may be considered for a different portion of the unsubsidized Direct loan. Origination fees will be deducted from the loan upon disbursement. Origination fees are subject to change.

Public health emergency instruction policy

As Fort Lewis College plans for instruction in the coming academic year, students are advised that in response to a further public health emergency or potential public health emergency such as COVID-19, some or all instruction for all or part of any particular academic year may be delivered remotely.

Any necessary adjustments to instruction will be made congruent with public health considerations. Tuition and fees have been set regardless of the method of instruction and will not be refunded if instruction occurs remotely for any part of the year.

Alternative loans

Private loans have no government subsidy. These college loans require a more stringent qualification of creditworthiness and may have higher interest rates than federal student loans.

The Financial Aid Office advises all students to use the Direct loan programs first.

Repaying loans

Students and parents can find comprehensive information about undergraduate student loan repayment options on the Federal Student Aid website.

There is also a repayment estimator you can use if you are:

  • Curious about what your payment might be based on what you have borrowed so far;
  • Beginning repayment of your federal student loans for the first time; or
  • Exploring repayment options based on your income.
  • We also recommend contacting your loan servicer to explore the best repayment option.
Athletic Compliance Hold

This hold prevents student athletes from changing their class schedules in a way that might affect their eligibility.

Action required

If you have an Athletic Compliance Hold and want to change your class schedule, please email your advisor.

This hold will prevent you from:

  • Registering for classes
  • Dropping classes
Find instructions and deadlines for resolving any account hold
Overpayment refunds

Charges paid with a credit card and then reversed will be credited back to the credit card. All other overpayments will be refunded to the student. A 30-day hold may be placed on more significant amounts paid with a personal check.

Withdrawal and tuition refund schedule

Students who are registered for classes and decide not to attend are responsible for canceling courses before the first day of the relevant term. Nonattendance does not constitute cancellation or withdrawal.

Withdrawing Fall & Spring Semesters

Students who officially withdraw during the fall and spring terms will be assessed tuition and fees according to the Pro-rata Schedule below:

Date of Withdrawal for Fall/Spring Semesters Tuition & Fees Assessment
1st day of Term through Census 0%
Day after Census through the end of Week 6 of the Term 60%
Weeks 7 - 10 75%
Week 11 Forward 100% (full tuition and fees)

Withdrawing Summer Term

Students who officially withdraw during the summer term will be assessed tuition and fees according to the Pro-rata Schedule below:

Date of Withdrawal for Summer Term Tuition & Fee Assessment
1st day of Term through Census 0%
Day after Census through the end of Week 5 of the Term 60%
Weeks 6 - 8 75%
Week 9 Forward 100% (full tuition and fees)

To be eligible to receive the reduction in tuition and fees according to this schedule, the official withdrawal must be completed using WebOPUS before midnight on the Sunday of the week indicated.

Students withdrawing on or after the first day of the term will be charged the full enrollment (matriculation fee). The confirmation fee will not be refunded.

Beginning Fall 2021, room and board charges are calculated using a daily pro-ration based on the occupancy date and official check-out date from Student Housing. A student must check out of Student Housing within 48 hours of withdrawing from the College. Disciplinary removals from Student Housing will result in a full assessment of room charges and forfeiture of the housing deposit.

Students who receive financial aid and withdraw may be required to repay all or a proportionate amount of aid received. Federal, state, and institutional regulations and policies determine repayment amounts. Refunds and repayments for students receiving Title IV financial aid will be calculated using the "Return of Title IV Funds" formula.

Refunds will be sent to the student at their permanent address when the withdrawal process is completed. There is a 30-day hold on payments made with a personal check. Payments made on a credit card will be credited back to the credit card.

Federal Direct Loans

There are two distinct Federal Direct Loan programs:

  1. Subsidized Loan Program: The subsidized program is based on financial need, and the borrower does not pay interest while enrolled at least half-time.
  2. Unsubsidized Loan Program: The unsubsidized loan program does not have this in-school subsidy and is not need-based. All eligible students may apply for and receive these funds.

Under the unsubsidized program, interest can accumulate or capitalize until the borrower is out of school, increasing the principal's amount. The borrower can make interest-only payments to avoid capitalization. View up-to-date information on interest rates and loan origination fees.

Undergraduate loan amounts

The amounts that undergraduate students may borrow per academic year depend on the credits earned.

A dependent undergraduate borrower may accumulate a maximum of $31,000 in outstanding federal loan debt. The undergraduate independent borrower may get outstanding federal student loan debt of up to $57,500.

Financial aid refunds

In most cases, the student's financial aid will be automatically credited each term when the student confirms full-time enrollment (at least 12 credit hours). Any funds awarded more than the direct charges due and payable to the institution will generally be made available to the student at the beginning of the term.

Checks for excess financial aid funds will be available on the first day of class if the student registers early as a full-time student. Aid will be processed once the student's financial aid file is complete. eRefunds are available through Student Account Suite and will allow the funds to be in the eRefund account before the start of school as long as the student has correctly set up the account and confirmed their enrollment.

Financial Aid is applied as it is awarded and received. You must accept your financial aid electronically on your WebOPUS account.

When financial aid exceeds the amount of institutional charges, a refund will be made available. The initial refund is created for the student when all aid credits are simultaneous. If the Federal Direct Parent Loan disburses after other aid has been credited, a refund will be produced for the parent borrower unless designated otherwise on the Federal Direct Parent Loan promissory note.

Tuition refunds for dropped classes

Students who drop a class on or before Census Day but remain enrolled will receive a 100 percent refund of tuition and fees for that class. Students who drop a class the day after the Census but remain enrolled must pay 100 percent of tuition and fees for that course (no refund).
