Fort Lewis College has a limited amount of Zoom recording space in our current cloud subscription.  In order to stay within our quota, we will only be storing the current semester and one previous semester's recordings within Zoom. Please practice good digital housekeeping and frequently delete all Zoom recordings which are no longer needed. 

Below is the schedule of purges occurring over the next 3 semesters. It is your responsibility to download your needed recordings in the timeframes before each purge date. All recordings in each date range will be permanently deleted from Zoom on the purge date. Zoom’s Trash will store deleted files for 30 days, which may be recovered in that time frame if needed. There will be no additional backups for recordings by Information Technology.

How to download/transfer recordings using the Zoom Recordings Application

  1. Login to the Zoom Recordings application
  2. In your list of recordings you have 2 options
    1. Expand each recording by clicking the plus sign next to the meeting name
    2. Click the box next to Meeting Name will select all recordings
  3. Click *Sync to OneDrive or Direct Download

*Sync to OneDrive is the best method as it will transfer all of your files to your OneDrive.  After the transfer is complete your recordings will then be deleted from Zoom.

If you decide to use Direct Download make sure your web browser allows multiple downloads for our page or the Zoom website for the most efficient download process.

In Google Chrome: click on the Download icon at the right end of the web address line to see status. Click “Allow automatic downloads of multiple files for this site”. 

 

How to Download Recordings in Zoom

  1. Login to https://fortlewis.zoom.us
  2. Go to Recordings in the Personal section on the left side of the page.Image of Zoom Recordings in the Personal section
  3. Narrow the search of your recordings with the date ranges to see all recordings in the timeframe chosen (ex. Purge date range of 1/1/20 – 7/31/2020); Chose dates and leave results on Cloud Recordings and “All Status”. Then click Search.  You can also view all recordings at once with no date range changes.

    1. You may want to change your browser settings for downloads if you have a large quantity of recordings!
      In Google Chrome, go to the ellipses and Settings. Image of highlighted ellipses in Google Chrome

    2. Search the Settings for “Downloads”. Update the default location to a folder of your choosing. It is recommended to save recordings in a designated location for easy downloading and personal access, like your M: drive, which will save space on your laptop or desktop. You may also want to turn off “Ask to save each file before downloading” to streamline the downloading process.Image of highlighted download location settings in Google Chrome

  6. All meeting recordings are comprised of a video file (.mp4) and an audio file (.m4a), but there may be other files like a text file (.txt) or an audio transcript file (.vtt). Files will be listed on the recording’s page. All related files should be downloaded and stored together.

  7. When your download has finished, click the back button on your browser. Repeat steps 3 through 5 for all recordings in the designated time frame. You will need to input the date range each time you want to download another recording.

  8. Confirm that all needed recordings have been downloaded to the chosen new location. Go back in to your Recordings in Zoom and select all recordings you downloaded with the check box. Click “Delete Selected”. Please practice good digital housekeeping and frequently delete all Zoom recordings which are no longer needed.
